Privacy and confidentiality

How enquiry and session-related information is handled. Contact us if you need clarification about your personal information.

Information we collect

When you email, call, or use the consultation request form on this site, we receive the details you choose to share — typically your name, email, optional phone number, preferred session format, a general area of interest, and any short note you add.

When you use the online booking calendar (once enabled), we collect your name, email, optional phone number, chosen appointment type, time and session format so we can confirm and remind you of the appointment. Booking calendars never show other clients' names or details to the public.

If you subscribe to the optional email newsletter, we also process the email address (and any name) you provide for that separate marketing consent. A consultation enquiry does not enrol you in marketing automatically.

How we use it

We use enquiry information to respond, arrange sessions and provide the service you request. We use newsletter details only to send the content you opted into, until you unsubscribe. We do not sell personal information.

Confidentiality in practice

Session conversations are treated as confidential within normal professional practice. There are limits: for example, where disclosure is required by law, or where there is a serious risk of harm. Gerald can explain confidentiality boundaries in more detail at the start of work together.

Enquiry details versus session notes

Website form submissions are operational enquiries (contact and scheduling). Clinical or session notes, if kept for ongoing work, are separate practice records and are not published on this website.

Where enquiry and booking details are stored

Consultation form submissions and confirmed appointments may be stored in a secured database (Supabase / PostgreSQL) used by the Hypnotherapy Center to reply, schedule and follow up. Booking confirmation and reminder emails are sent through our transactional email provider (Brevo) when configured — an email delivery problem does not cancel a confirmed appointment. Newsletter subscriptions, when you opt in, are managed through Brevo as a separate marketing list with unsubscribe controls and are never enrolled automatically from an enquiry or booking.

If Google Calendar synchronisation is enabled later, busy periods may sync to help avoid conflicts. Calendar titles should stay generic; therapeutic notes are not stored in ordinary calendar descriptions.

Retention

We keep enquiry records only as long as needed to respond and manage ongoing contact, then remove them when they are no longer required. Marketing contacts are retained until you unsubscribe or ask us to remove them, subject to any legal retention needs.

Your rights and preferences

You may ask what personal information we hold about an enquiry, request correction, or ask us to remove information that is no longer needed for the purpose it was collected — subject to legal obligations. For marketing emails, use the unsubscribe link or contact us directly.
